Who is responsible for your information?

Information we collect
- Your email address and any name supplied during checkout.
- The postcode, town or city you enter, your chosen radius, scanner model and coverage preferences.
- Your order reference, membership status, renewal date, Stripe customer and subscription identifiers, payment status and correspondence about your order.
- Aggregate daily page-view and order-journey counts, including whether a visit came from Facebook. These counters do not contain your name, email address, IP address or a persistent visitor identifier.
- Limited technical and security information created when the website and payment service operate.
Stripe processes your card and payment details. ScanLocal UK does not receive or store your full card number.
Why we use it
- To create, deliver and support your order or annual membership under our contract with you.
- To provide passwordless access to previous purchases and membership controls when you request a secure Members area link.
- To understand which public pages are useful and measure how reliably the checkout journey works.
- To process payment, recurring renewal, prevent fraud and keep the service secure.
- To meet tax, accounting and other legal obligations.
- To handle questions, complaints and legal claims where we have a legitimate interest in doing so.
We do not sell your information and do not use it for unrelated marketing.
Who we share it with
We use service providers where needed: Stripe for payments, Resend for transactional email, and OpenAI/ChatGPT Sites and Cloudflare for website hosting and delivery. Professional advisers or public authorities may receive information where the law requires it. These providers may process information outside the UK using recognised legal safeguards.
How long we keep it
Order and accounting records are normally kept for up to six years where needed for tax, accounting, disputes and legal obligations. Routine enquiries are kept only as long as reasonably necessary. Information is then securely deleted or anonymised.
Frequency corrections
If you report an error, we keep your account email, message and a copy of the frequency entry in a private review inbox so we can check and respond to the report. Reports are not published. They are handled as routine enquiries; contact us if you want your report removed.
Saved airband lists
If you save a list, we store its name, chosen location, scanner settings and selected channel records with your membership email so you can reopen it on another device and compare published changes. Lists are private to your account. You can remove them in My airband while your membership is active, or ask us to delete them. Removing a saved list does not remove previously generated order files.
Optional map location
If you use Find me, your approximate location stays in your browser and is not stored by ScanLocal UK. The map provider receives the usual tile requests for the area shown. You can use the map without sharing your location.
Public FreeSTAR network activity
The FreeSTAR explorer shows a short public activity snapshot, including callsign, mode, destination, connection status and time. We do not link it to member accounts or keep an activity history.
SDS Connect listening logs
SDS Connect exchanges status and controls directly with your USB scanner. Listening sessions and notes stay in this browser on your computer; they are not uploaded to ScanLocal UK. We check your membership to enable the connection. Exported CSV and session backups are saved where you choose. Clearing browser data removes local sessions, and anyone using the same browser profile may be able to access them. No scanner audio is recorded or uploaded.
Your rights
Depending on the circumstances, you may ask for access to your information, correction, deletion, restriction, objection or transfer. You may also complain to the Information Commissioner’s Office. Contact us first at info@scanlocaluk.co.uk so we can try to resolve your concern.
Cookies and payment services
ScanLocal UK does not intentionally use advertising or analytics cookies. The aggregate analytics described above does not set an analytics cookie and does not create an individual visitor profile. A temporary session marker may remember that a visit came from Facebook so the anonymous journey can be counted consistently; it is not used to recognise you on a later visit. The Members area uses a strictly necessary, secure session cookie after you open an emailed access link. It expires automatically after 24 hours and is used only to display purchases associated with that verified email address. Other essential technology may be used to keep the website secure and working. When you continue to Stripe, Stripe operates its own service and privacy practices.
